Location: Limassol, Cyprus (On-site)

We are seeking a highly professional, proactive and exceptionally organised Executive Assistant to provide dedicated support to our Chief Operations Officer (COO) and wider Executive Leadership Team.

Reporting directly to the COO, this pivotal role will act as a trusted partner, ensuring the seamless management of executive priorities, complex schedules, international travel and key stakeholder interactions. In addition to supporting the COO, the successful candidate will provide ad hoc executive support to the Chief HR Officer, Chief Pharmacist and Chief Strategy & Development Officer, who are based across Europe and regularly visit the Limassol site.

Beyond executive support, this role plays an important part in driving organisational effectiveness by coordinating company-wide events, leadership town halls and internal gatherings that foster engagement and collaboration across the business.

Key Responsibilities

  • Manage and optimise the COO's complex and demanding calendar, ensuring effective prioritisation of meetings, appointments and business commitments.
  • Coordinate international and domestic travel arrangements, including flights, accommodation, visas, itineraries and associated administration.
  • Prepare high-quality presentations, reports, briefing papers and executive documentation for leadership and board-level meetings.
  • Manage executive correspondence, including drafting communications, handling enquiries and ensuring urgent matters are prioritised appropriately.
  • Organise and coordinate meetings, prepare agendas, capture minutes and monitor follow-up actions to ensure timely completion.
  • Act as a key point of contact between the COO and internal and external stakeholders, maintaining strong professional relationships across all levels of the organisation.
  • Conduct research, gather insights and prepare summaries to support executive decision-making and strategic initiatives.
  • Support the planning and coordination of company-wide events, leadership meetings, town halls and employee engagement activities.
  • Provide selective personal assistance to the COO where required, helping maximise executive effectiveness and productivity.
  • Handle highly sensitive information with the highest levels of confidentiality, professionalism and discretion.
  • Undertake additional duties aligned with business needs and organisational priorities.

About You

You are a highly capable Executive Assistant with experience supporting C-suite leaders within large, international organisations. You possess exceptional organisational skills, strong business acumen and the ability to anticipate needs, solve problems proactively and manage multiple priorities with confidence.

Qualifications & Experience

  • Diploma or Bachelor's Degree in Business Administration, Office Management, Communications or a related discipline.
  • Minimum of 5 years' experience supporting a COO or equivalent executive within a global organisation of 1,000+ employees.
  • Proven experience as an Executive Assistant, Personal Assistant or similar senior support role.
  • Demonstrated expertise in managing complex executive calendars, international travel and confidential business matters.
  • Experience operating in fast-paced, multinational environments.

Language Requirements

  • Fluent English, both written and spoken.
  • Additional languages will be considered an advantage.
